Does anyone have an example they could send me for inspiration?
The client in question always takes up a minimum of 45-60mins per consultation even for initially

RE: Client sacking letter

Might be worth checking with vds re notice / emergency cover for a number of days.

My understanding is that this was for large animal clients who might find it more difficult to find another vet . Small animal clients have a huge number to choose from so there is no need for the notice.
Dear Mrs Smith.

It would appear from out past interactions that our practice cannot live up to your expectations of the time you require for consultations or the standard of care that you expect. I am writing to you to advise you that we will be unable to accept you as a client in the future and hopefully you will find another practice whcih is able to fulfill your expectations. If we can assist you in this matter please advise us accordingly.

Obviously I won't reproduce that here, but I prefer to keep things brief and to the point. I don't offer an explanation, it only invites a response/debate/argument. You should give a period of notice over which you'll continue to provide an emergency service at least. It's worth priming reception to expect a phone call asking for an explanation but don't feel compelled to offer one.

RE: Client sacking letter

Emily Rainbow - I was going to write a tongue-in-cheek one, but stopped myself! This is probably rubbish, but just an idea for a way of tackling things in a 'say it as it is sort of way' ...

Dear Mrs Snorks

We count you as a valued and important client of our practice.

However, ensuring the best veterinary care can only be achieved through a good working relationship between us: an understanding that what we both want is nothing but the best care for your animals.

In recent months, you have refused many of the treatment options we have recommended, on the basis that you think they are toxic to your animals. You have demanded we conduct certain tests which, in our professional opinion, are unnecessary.

This is about trust. You must understand that our every endeavour is to provide the very best care for your animals, and we certainly would not recommend treatments which are toxic to your animals. You also have to trust also that we've had the training and experience to know which tests are necessary and when.

We have a further difficulty in that your consultations are typically taking as long as one hour for things that in the normal run of things should take no more than 15 minutes.

Don't get me wrong. We are delighted to see you! The problem is that we have to fit so many other clients in too.

I hope very much that you will read this letter in the spirit in which it is written. That we can move forward and enjoy a better working relationship in the future.

However, if you feel that you don't have trust in the work we do, then it may be better if you seek veterinary care from another local practice in which you have greater faith.

RE: Client sacking letter

Hi Emily, I know this doesn’t answer your question but have you thought of charging her for the time spent in your consult room? I don’t use it a lot but I will use it with clients with too much free time on their hands.

RE: Client sacking letter

If you're in VDS, they provide excellent templates for things like this.
