The question is , if you refuse to pay all or part of the invoice , what happens? With some systems you lose the ability to use the system but can still view history if you don't pay. Others you just lose support and if you don't use support that much then perhaps pay as you go could be arranged.

Done, negotiated and probably sorted. I nearly had heart failure when the invoice arrived. It aint broke (actually is pretty good!) so we will hopefully not need to fix it! Original post was, perhaps just a reaction to another big bill arriving at income tax time.

You're with ezoffice like us I seem to remember. Our license fee was over 8k for 13 terminals over 2 sites. Did think it was steep!! will look into it more I think

License and support for 5 machines. Very reliable system so 2-3 phone calls or emails a year to the system provider! It does include off-site back up and we are fine with the way the system works and really don't want to change.

You seem to be satisfied with it so 'if it ain't broke, don't mend it'. Changing to a new computer system can bring up all sorts of bugs, glitches and hang-ups that seem to go on for years; fix one and another appears (ask the RCVS! )

No lease purchase for hardware or anything like that, then.

It's beyond me why you should have to pay annually for the licence. Why can't you just buy the software like you would with anything else? Do your own backup. Support can be valuable but at that rate you might be better paying a fat fee for support when you need it?
